Replace My Lighting ("RML," "we," "us") is a service of Soluvoll, LLC, a Florida limited liability company. RML helps building owners, facility teams and lighting contractors keep a record of the light fixtures in their buildings, track warranties, and file warranty claims.
This policy explains what information we collect, why, who we share it with, and the choices you have. It covers replacemylighting.com, the RML app, the free lighting map, and the emails we send and receive for the service.
RML is built for businesses. It is not meant for children, and we do not knowingly collect information from anyone under 18.
RML has two kinds of accounts:
Soluvoll staff cannot see the data of a contractor's customers in RML unless an administrator of the contractor's account opens access. Access covers one customer, lasts from 1 to 30 days, and ends on its own when that time is up. The contractor's administrator can close it sooner at any time. While access is open, RML keeps a record of each time we use it, and the contractor can see that record: when, which of our staff, and what part of the account. Repeat views of the same page by the same person within a minute are recorded once. This limit applies within the RML application. A small number of Soluvoll personnel who run the service also have technical access to our database and hosting systems, which we use only to operate, secure, back up and support RML.
Photo location data. Photos taken on a phone often carry hidden location (GPS) data. We remove it from photos you upload through RML, usually within minutes and in almost every case within a day. If a photo cannot be cleaned, we either delete it or keep it where only Soluvoll staff can see it.
What we do not collect. We do not take card payments on the site, so we do not collect card numbers. We do not use advertising trackers. We do not use your photos to identify people.
RML uses artificial intelligence to do work you would otherwise do by hand: read nameplate photos, identify fixtures, read drawings, schedules, invoices and other documents you upload, and pull out the fixture and warranty details.
We do not sell your information, and we do not share it for advertising.
We share it only as needed to run RML:
| Company | What they do for RML |
|---|---|
| Supabase | Database, sign-in, and file storage |
| Vercel | Hosts the website and app |
| Anthropic | AI reading of photos and documents (see above) |
| Resend | Sends our emails and receives replies to warranty claim emails |
| Cloudflare | Bot checks on forms (Turnstile), and storage for our encrypted backup copies |
| CloudConvert | Converts CAD drawing files (DWG) that our staff upload, so we can read them |
| Upstash | Counts requests, using a key based on your IP address, so we can limit abuse |
| GitHub | Runs our nightly backup job, which copies and encrypts the data before storing it |
| Address lookup and maps when you type or view a building address | |
| Cal.com | Booking a call with us |
| Zoho | Our customer records (Zoho CRM) and our accounting (Zoho Books) |
| Sentry | Error tracking (set up to leave out IP addresses and sign-in details) |
Manufacturers, distributors and suppliers, for warranty claims. When you file a warranty claim, or ask RML to file one, we email the claim to the manufacturer, distributor or supplier that handles it. That email includes the fixture details, photos, the building address or ship-to address, and the contact names needed to process the claim. The email is sent from an RML address in your account's name, for example "Acme Lighting (via Replace My Lighting)." Replies come back to RML and are attached to the claim. Once a manufacturer or distributor has the claim, its own privacy practices apply to what we sent.
Your contractor or your customers. If a contractor manages your building, the contractor sees your building records. If you are a contractor, the customers you invite can see the buildings you share with them.
People you share a link with. RML lets you create a link to a building or a lighting map. Anyone who has the link can see what it shows, without signing in. Treat a link like a key and send it only to people you want to see it. Building share links expire after no more than 90 days, and you can turn a link off at any time. Free lighting maps work differently. Save your map to a free account to keep it. Unsaved maps are removed after 6 months with no changes. (See "The free lighting map" below.)
When the law requires it. We may share information if required by law, court order or a valid legal request, or to protect the rights, safety or property of our customers, the public or Soluvoll.
If the business changes hands. If Soluvoll or RML is sold, merged or reorganized, customer information may move to the new owner, who must follow this policy for the information it receives.
You can use the free lighting map without an account. You upload fixture photos and building details, and we build a map of your fixtures.
RML stores your information in the United States: our database and files with Supabase (Amazon Web Services, northern Virginia), and our app with Vercel (Washington, D.C. area). Our encrypted backup copies are stored with Cloudflare in eastern North America. CloudConvert, which converts CAD drawing files our staff upload, may process those files outside the United States, including in the European Union. Some of the other companies listed above may also process information in other countries.
We use reasonable safeguards for a business our size: encrypted connections, encrypted backups, private file storage reached only through short-lived links, a separate space for each customer account, limits on repeated requests, bot checks on public forms, and logged access when staff look at a contractor's customer. No system is perfect. If we learn of a security breach that affects your personal information, we will tell you as required by law.
You can ask us to:
You can stop marketing emails with the unsubscribe link or by emailing us. We will still send emails you need for the service, such as claim updates and account notices.
If your building is managed by a contractor, we may pass your request to the contractor, since the contractor is in charge of that data.
To make a request, email privacy@replacemylighting.com. We will check that a request really comes from you before we act on it, and we will answer within 45 days, or sooner if the law that applies to you requires it. We will not treat you differently for making a request. If we turn a request down, we will tell you why.
Some U.S. states give their residents extra privacy rights. We honor them where they apply. We do not sell personal information, and we do not share it for targeted (cross-context behavioral) advertising, so there is nothing to opt out of on that front. We do not use personal information to make decisions about people that have legal or similarly significant effects.
We use a small number of cookies and similar browser storage:
We do not use advertising cookies, advertising pixels, or analytics tools.
We may update this policy as RML changes. The "Last updated" date at the top shows when. If a change matters, for example a new kind of company we share information with, we will tell account holders by email or in the app before it takes effect.
